HOST INFORMATION & ENGAGEMENT GUIDELINES

The Assignment That Refuses to Expire • Abba's Daughter Institute

 

 

Thank you for being interested in hosting The Assignment That Refuses to Expire. These guidelines are designed to help create a well-prepared, excellent, and impactful workshop experience for both the host organization and participants.

WORKSHOP INVESTMENT

  • Local engagements (within 100 miles of Huntsville, Alabama): $45 per participant.

  • Out-of-town engagements (beyond 100 miles): $55 per participant.

  • Participant workshop materials are included. The 90-Day Dream Activation Companion is an optional resource and is not included in the workshop investment.

MINIMUM PARTICIPANT COMMITMENT

To ensure that each engagement is both impactful and sustainable, hosted workshops are based on a minimum commitment of 20 participants. Organizations are welcome to host smaller groups; however, the minimum workshop investment will still apply.

RESERVATION DEPOSIT & FINAL PAYMENT

A 25% non-refundable deposit is required to reserve the workshop date. The remaining balance is due no later than 14 days before the scheduled engagement. A final participant count is also requested 14 days before the workshop so that participant materials can be prepared. Additional participants may be accommodated after that date subject to material availability.

TRAVEL & TRANSPORTATION

For engagements beyond the local service area, travel expenses are arranged separately. For ground travel, one travel stipend beginning at $250 may apply and will be determined according to distance and travel requirements. The facilitator may travel with one workshop assistant. When air travel is required, the host organization is responsible for reasonable round-trip economy airfare for the facilitator and one workshop assistant, along with necessary ground transportation and other agreed-upon travel expenses. Travel arrangements and associated costs will be approved in advance.

LODGING ACCOMMODATIONS

When the workshop schedule or travel distance requires an overnight stay, the hosting organization will provide or cover one room at a reputable, full-service hotel in a safe, well-lit, and convenient location near the event venue. The facilitator and workshop assistant will share the room; no additional lodging accommodation is required for the assistant. Hotel accommodations must be approved by the facilitator prior to booking.

 

WORKSHOP HOSPITALITY

The hosting organization is responsible for providing a continental breakfast and lunch for registered workshop participants. The facilitator and one workshop assistant should be included in the onsite meal count. Meals for the facilitator and assistant outside of the scheduled workshop are their responsibility unless otherwise arranged or graciously provided by the host.

WORKSHOP ASSISTANT

The facilitator may be accompanied by one workshop assistant who supports setup, materials, participant needs, and workshop operations. No separate assistant fee is charged to the host. When air travel is required, applicable transportation for the workshop team is included in the travel arrangements provided to the host in advance.

HOST RESPONSIBILITIES

 

  • Provide an appropriate, clean, accessible meeting space with adequate tables and seating.

  • Provide reasonable access to the venue before the workshop for setup.

  • Provide basic audiovisual equipment needed for the presentation, as agreed in advance.

  • Designate one primary host contact for planning and day-of coordination.

  • Manage participant registration unless other arrangements are agreed upon in writing.

 

CANCELLATION & RESCHEDULING

Reservation deposits are non-refundable. If the host must cancel, the deposit may be transferred one time to a mutually agreed-upon workshop date within six months, subject to facilitator availability. Any non-recoverable expenses already incurred for the engagement remain the responsibility of the host.

In the unlikely event that the facilitator must cancel because of illness, emergency, severe weather, or circumstances beyond reasonable control, every effort will be made to reschedule. If rescheduling is not possible, applicable workshop payments received will be refunded, subject to any mutually agreed non-recoverable expenses.

CURRICULUM, PHOTOGRAPHY & RECORDING

Workshop curriculum, presentations, participant materials, exercises, and related content are protected intellectual property and may not be reproduced, distributed, taught, recorded, or adapted for other use without written permission. Photography may be permitted during designated portions of the workshop. Audio or video recording of teaching sessions requires advance written approval.

Our goal is simple: clear expectations, thoughtful preparation, and an excellent workshop experience from invitation to activation.
